CARLI Collections Working Group Minutes Date: February 12, 2009 Location: Conference Call

Announcements:
• There is an RFP moving forward for the centralized purchase of databases. The Board of Trustees meets on March 26 to discuss the July 1 (FY10) renewal.
• The FY2010 awards program items are due March 24th. Elizabeth reported that the webinars and meetings went well. You can see previous score sheets on the wiki.
• The FY2009 book digitization initiative has a new form to request a new UPS label. Several items have already been digitized. The timeline has been pushed back a month. You can review the digital objects at www.archive.org. You can do an advance search by the contributor (e.g., Chicago State, Newberry, etc.). There will probably be a press release go out in May regarding the program.
• ILA is looking for programs from academic libraries.
• We will need to make a proposal to the board to continue the Book Digitization Initiative for a third year by June.
• The Ebook symposium is March 4th. The registration is now at 72. This will be held at the Hawthorne Suites.
• In order to schedule and plan training and programs for 2009-2010, keep in mind the Board needs six months to schedule and finance these activities. The group discussed a fall meeting followed-up by subject based webinars. We will be certain past registrants are notified of the new format. The fall meeting was suggested for early and late September on a Friday.
• The book vendor (UI RFP) has selected YBP. The U of I is working on what to do next. CARLI will be making the announcements.
• Fifteen to twenty-five institutions expressed interest in The Center for Research Libraries membership. For more information, attend their quarterly webinar. CRL is now a stop on the delivery system. Delivery is preferred by electronic means, second choice is shipping. CARLI will subsidize 50% up to $2,000 for 2 years (minimum fee is $1,200/yr.).
• CARLI is working on an electronic form if someone wants to offer their last copy of an item in the state. Programmers are working to automate the process to offer the item first to the U of I then to another research library.
• I-Share Analysis Project will be held on June 10th. There are 100 slots open with lunch provided. This will be held at the I-Hotel in Urbana.
• March 20th is the copyright workshop in Chicago.
• June 9th and 11th is the preservation working institute discussing book burnins and disaster recovery. This is limited to 20 people.
Tasks assigned:
• Mary, Jerry, Elizabeth, and Marlene will brainstorm topics for the fall meeting and present their ideas at the May meeting.
Meeting Dates and Deadlines
• April 14 - We will read through the Awards program making sure the theme is met. Book Digitization Initiative proposals arrive that day. We will decide on basic ranking that day. Also, make proposal to board to continue project.
